This policy explains what personal data we process when you use this website or book a tour, why we do it and what rights you have.

In this policy "we", "us" and "Visit to India" refer to the company above, which operates the website and the brand Visit to India - Travels to India. We process personal data in accordance with Regulation (EU) 2016/679 (the GDPR) and applicable Polish law.

2. What data we collect

We collect only the data we need to answer your questions and organise your trip:

  • Contact data you send us by email or phone: name, email address, telephone number and the content of your message.
  • Booking data: names of all travellers as in their passports, dates of birth, nationality, passport number and expiry date (required by hotels, airlines and for permits), travel dates and preferences.
  • Special requests you choose to share, such as dietary requirements or health conditions relevant to the tour. This may include health data, which we process only with your explicit consent.
  • Payment data: invoice details and payment confirmations. Card details are processed by our payment provider; we never see or store your full card number.
  • Technical data: IP address, browser type, device type and pages visited, collected through server logs and cookies (see section 8).

This website has no contact form and no user accounts. We receive personal data only when you actively email or call us.

We do not use your data for automated decision-making or profiling, and we do not sell personal data.

4. Who receives your data

We share personal data only with parties who need it to provide your trip or to run our business:

  • hotels, houseboat and camp operators, airlines, railway companies, drivers and guides involved in your itinerary;
  • our local partner offices in India that coordinate services on the ground;
  • authorities issuing permits (for example Inner Line Permits in Ladakh);
  • payment, hosting, email and accounting service providers acting as our processors;
  • public authorities where the law requires it.

5. Transfers outside the European Economic Area

Because our tours take place in India, the data necessary to deliver your booking is transferred to India, a country outside the European Economic Area. These transfers are necessary for the performance of the contract between you and us (Art. 49(1)(b) GDPR). We pass on only the minimum data each supplier needs.

6. How long we keep your data

  • Enquiries that do not lead to a booking: up to 12 months after our last contact.
  • Booking and contract data: for the duration of the contract and then for 6 years, the limitation period for claims.
  • Invoices and accounting records: 5 years from the end of the tax year, as required by Polish tax law.
  • Data processed on the basis of consent: until you withdraw your consent.

7. Your rights

Under the GDPR you have the right to:

  1. access your data and receive a copy;
  2. rectify inaccurate or incomplete data;
  3. erase your data ("right to be forgotten") where there is no legal reason to keep it;
  4. restrict processing;
  5. data portability;
  6. object to processing based on legitimate interest;
  7. withdraw consent at any time, without affecting processing carried out before the withdrawal.

To exercise any of these rights, write to contact@visit-to-india.com. We reply within one month. You also have the right to lodge a complaint with the supervisory authority: the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych), ul. Stawki 2, 00-193 Warsaw, Poland.

8. Cookies

Cookies are small text files stored on your device. This website uses:

  • Essential storage – a single local-storage entry that remembers you have closed the cookie notice. It contains no personal data.
  • Anonymous statistics cookies – if enabled, they tell us which pages are visited and from which type of device, without identifying you.

We do not use advertising or social-media tracking cookies. You can delete or block cookies at any time in your browser settings; the website will continue to work.

9. Security

We protect personal data with encrypted connections (HTTPS), access controls, regular backups and confidentiality obligations for staff and suppliers. Passport details are shared with suppliers only where legally required and are deleted from working files after the tour.
